Travel Booking, Cancellation & Tour Terms

Thank you for your interest in traveling with Anthony Lujan. These Travel Booking, Cancellation & Tour Terms apply to hosted photography tours, expeditions, workshops, and related travel experiences promoted through www.anthony-lujan.com.
By submitting a booking request, paying a deposit, making a tour payment, or participating in a tour, you agree to these terms.
1. General Nature of the Tours
Anthony Lujan’s tours are designed for photography-focused travel experiences that may include hummingbirds, other wildlife, landscapes, cultural settings, lodges, private reserves, parks, and guided field outings.
Each individual tour page contains trip-specific details, including destination, dates, pricing, itinerary, group size, included items, and exclusions. If there is any conflict between this master policy and a specific tour page, the specific tour page controls for that tour.
2. Booking and Deposit
A spot is not considered confirmed until the required deposit has been received and accepted.
Unless otherwise stated on a specific tour page, a USD $1,000 deposit is required to reserve your place on a tour.
Deposits are non-refundable, but may be transferred one time to another available tour within 12 months, unless otherwise stated on the specific trip page.
We reserve the right to decline a booking request at our discretion.
3. Final Payment
Unless otherwise stated on the specific tour page, the remaining balance is due 90 days before departure.
Flexible installment payments may be allowed for certain tours. Any installment arrangement must still result in full payment by the final payment deadline unless otherwise agreed in writing.
If final payment is not received by the deadline, your reservation may be cancelled and your space may be offered to another participant, with any refund governed by the cancellation terms below.
4. Pricing
Tour pricing is listed on each individual tour page and may vary by destination, lodging type, room occupancy, transportation arrangements, and other trip-specific factors.
Prices are generally stated per person and may include shared accommodations unless a single supplement is specifically offered.
We reserve the right to correct pricing errors, publishing errors, or obvious mistakes at any time before a booking is confirmed.
5. What Is Included
Included items vary by tour and are described on the individual trip page.
Depending on the tour, included items may include:
local guides and drivers
accommodations
park or reserve entrance fees
certain meals
land transportation during the tour
airport transfers at designated times
photography guidance or instruction
Participants should always review the specific “What’s Included” section on the individual tour page before booking.
6. What Is Not Included
Excluded items vary by tour and are described on the individual trip page.
Unless specifically stated otherwise, tours generally do not include:
international airfare
extra hotel nights before or after the tour
optional gratuities
personal expenses
laundry, drinks, phone charges, or souvenirs
passport or visa fees
vaccination costs
travel insurance
medical care, hospitalization, or evacuation costs
Participants are responsible for reviewing the specific “What’s Not Included” section on the individual tour page before booking.
7. Itinerary Changes
We will make every reasonable effort to operate each tour substantially as described. However, itineraries are not guaranteed.
Unforeseeable or changing conditions, including but not limited to political events, weather, environmental conditions, road conditions, safety issues, local closures, cultural circumstances, transportation disruptions, guide availability, lodging changes, wildlife movement, migration patterns, or other events beyond our control may require changes.
We reserve the right to alter, modify, substitute, postpone, or remove any part of an itinerary at any time if necessary. When possible, participants will be notified of significant changes as far in advance as reasonably possible.
8. Wildlife and Photography Expectations
These tours are built around photography and wildlife experience, but wildlife sightings, specific species encounters, weather conditions, light conditions, access conditions, and photographic outcomes can never be guaranteed.
Each participant understands that wildlife is unpredictable and that no promise is made regarding the appearance, visibility, behavior, or photographability of any specific species.
9. Participant Responsibilities
Participants are responsible for:
reviewing the trip details before booking
ensuring they are physically able to participate in the activities described
arriving with appropriate gear, clothing, and personal supplies
obtaining and carrying valid passports, visas, permits, and other required travel documents
complying with local laws, lodge rules, reserve rules, and guide instructions
arriving on time for scheduled departures, activities, transfers, and meetings
maintaining respectful conduct toward guides, drivers, staff, local communities, and fellow participants
We reserve the right to remove a participant from all or part of a tour, without refund, if their conduct is unsafe, disruptive, abusive, unlawful, or materially interferes with the experience of others.
10. Health, Medical, and Travel Readiness
Participants are solely responsible for determining whether a tour is appropriate for their personal health, mobility, fitness, and travel circumstances.
By booking, each participant acknowledges that travel may involve uneven terrain, changing weather, insects, altitude, long days, vehicle travel, limited medical access, and remote conditions depending on the destination.
Participants are responsible for their own medications, medical preparedness, emergency contacts, and any healthcare decisions related to travel.
We are not responsible for medical issues, injuries, illness, allergic reactions, evacuation expenses, or other health-related events that occur before, during, or after a tour.
11. Travel Insurance
Travel insurance is strongly recommended.
Participants are encouraged to purchase travel insurance that may cover trip cancellation, interruption, medical emergencies, evacuation, baggage issues, and other unexpected losses.
Failure to obtain travel insurance does not change the cancellation or refund terms.
12. Cancellation, Refunds, and Nonrefundable Supplier Costs
To reserve a space on a tour, a USD $1,000 deposit is required unless otherwise stated on the specific tour page. This deposit is non-refundable but may be transferred one time to another available tour within 12 months of the original tour date, subject to availability.
The remaining balance is due 90 days before departure unless otherwise stated on the specific tour page.
Because hotels, lodges, guides, drivers, transportation providers, reserves, permits, and other third-party suppliers often require advance payments that may be non-refundable, any unrecoverable amounts already paid or contractually committed on your behalf are non-refundable and will be deducted from any refund otherwise due.
Unless a specific tour page states otherwise, participant cancellations are subject to the following terms:
More than 60 days before departure: Refund of payments made, minus the deposit and minus any unrecoverable third-party supplier costs already paid or committed
31 to 60 days before departure: 50% refund of payments made, minus the deposit and minus any unrecoverable third-party supplier costs already paid or committed
30 days or fewer before departure: No refund
If the total amount of unrecoverable third-party supplier costs already paid or committed on your behalf exceeds the refund amount otherwise available under the cancellation schedule above, the refund will be reduced accordingly.
All cancellation requests must be made in writing and are effective only upon receipt and acknowledgment.
We strongly recommend purchasing travel insurance to protect against unexpected cancellations, medical issues, emergencies, travel delays, and other unforeseen events.
13. Cancellation by Us
If a tour is cancelled by Anthony Lujan or the tour organizer, participants will receive either:
a full refund of amounts paid to us, or
the option to transfer payments to another available tour within 12 months
Unless required by law, our responsibility is limited to amounts actually paid directly to us for the tour itself.
We are not responsible for non-refundable airfare, independent hotel reservations, travel insurance premiums, visa costs, vaccination costs, equipment rentals, or any other expenses not paid directly to us.
And this is the booking acknowledgment you should place near the payment button, invoice, or booking form:
By submitting payment, I acknowledge and agree that the tour deposit is non-refundable and that any unrecoverable costs for hotel, lodging, guide, transportation, permits, reserves, or other third-party suppliers already paid or committed on my behalf are also non-refundable.
14. Force Majeure
We are not liable for delay, cancellation, loss, damage, or changes caused by events outside our reasonable control, including but not limited to:
weather events
natural disasters
wildfire
flooding
earthquakes
disease outbreaks
epidemics or pandemics
government actions
border restrictions
civil unrest
strikes
transportation failures
political instability
security concerns
local closures
acts of God
In such circumstances, we reserve the right to make itinerary changes, postpone travel, substitute services, or cancel a tour as reasonably necessary.
15. Accommodations, Transport, and Third Parties
Tours may involve third-party providers, including local guides, drivers, lodges, hotels, restaurants, reserves, transportation providers, or other service partners.
We carefully select partners, but we do not own or control those third-party providers and are not responsible for their acts, omissions, service failures, delays, closures, injuries, losses, accidents, or changes.
16. Limitation of Liability
To the fullest extent permitted by law, Anthony Lujan shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising out of or related to any booking, tour, itinerary change, delay, cancellation, injury, illness, loss, wildlife outcome, weather condition, or third-party service issue.
Our total liability for any claim relating to a tour shall not exceed the amount the participant actually paid us directly for that specific tour.
Nothing in this policy excludes liability that cannot legally be excluded under applicable law.
17. Assumption of Risk
By participating in a tour, each participant acknowledges and voluntarily accepts the ordinary and inherent risks of travel, wildlife observation, photography in outdoor environments, transportation in remote areas, and activities connected with the itinerary.
These risks may include injury, illness, falls, equipment damage, delayed transport, changing environmental conditions, animal behavior, and limited access to immediate medical care.
18. Use of Photos and Media
Unless you notify us otherwise in writing, photographs or video taken during a tour that include participants may be used for reasonable promotional, editorial, documentary, or website purposes related to Anthony Lujan’s photography and travel offerings.
If you want to opt out of recognizable promotional use, you should make that request in writing before or during the tour.
19. Governing Law
These Travel Booking, Cancellation & Tour Terms are governed by the laws of the State of California, without regard to conflict of law principles.
